External Engagement

Inviting a buyer or other external stakeholder into a Decision Site turns a one-way sales process into a collaborative partnership — they see the same meetings, documents, and plan you do, on their own dedicated view. This section covers where external stakeholders land, what they can see once they're in, and how to control it.

Landing experience & access boundaries

External stakeholders land directly on the Overview page of the specific Decision Site they were invited to — never the Seller Hub, which stays internal-only.

Their access is scoped tightly to that one Decision Site. They can't see any other Decision Site under the same account, and they can't see any other account in your workspace — even one they'd otherwise be a natural contact for — unless they've been explicitly invited to those too.

What buyers can see

  • Meeting history — recordings, transcripts, and summaries for anything shared with the site, as long as it isn't marked restricted.
  • Artifacts — every uploaded file, linked URL, and recorded Welcome video that's part of the site's artifact collection.
  • The Mutual Plan — buyers can see progress and the specific tasks assigned to them. You can also lock the whole plan down to internal-only if you'd rather keep it out of view.

Shaping the Overview page

The Overview page is designed to give buyers and stakeholders instant clarity without having to sift through noise. A mix of manual curation and automatic surfacing shapes what they see:

  • Welcome Artifact — a featured video or presentation at the top, often used to humanize the relationship and summarize goals.
  • Key Messages & Details — editable text where you can summarize urgency, pains, and goals in the buyer's own language.
  • Featured Artifacts — a manually curated "buying kit" of essential documents: pricing, proposals, security sheets, and the like.
  • Callout Cards — customizable cards in the right column for quick actions, like scheduling a demo, linking to Slack or Jira, or highlighting a specific theme.

Control what shows up by starring an item to feature it, and always check the Preview icon before sharing a site — it shows you exactly what the external experience looks like, so nothing surprises you after the fact.

Managing visibility (the Globe icon)

The globe icon is how you control who can see what, at three different levels:

  • Meetings & artifacts — open the item, click the small globe icon next to its name, and choose Public (every invited stakeholder), Domain-based (specific email domains only), or Restricted (specific people only). Once restricted, the globe changes to a lock icon — an easy visual check that something is private.
  • Milestones — click the globe icon at the top of a milestone in the Mutual Plan tab to restrict every task inside it to internal folks or specific domains at once.
  • Individual tasks — if most of a milestone should stay visible but a few items shouldn't, mark just those tasks Private. This is the right move for internal prep steps you don't want a customer to see mid-discovery.

You don't have to fix visibility after the fact, either — when uploading a new artifact or adding a meeting, look for the checkbox at the bottom left of that dialog to set it as public or restricted immediately.

Default to Restricted for anything you haven't reviewed yet. It's easy to open something up once you're sure it's ready for a buyer to see — it's much harder to un-ring the bell if it was visible the whole time.
